Written Warning Letter for Misuse of a Company Vehicle

Dear Mr. Robert E. Lee:




This written warning is being issued to you for violating the misuse of a company vehicle.

Specifically, on February 8, 2011, you signed for a company vehicle for the purpose of traveling to traveling to a training event located approximately fifty-five miles away. When you returned the vehicle the odometer reading and your trip ticket indicated that the vehicle had traveled over two hundred and thirty-two miles. Although your trip ticket did indicate that you traveled the additional miles it was for an unauthorized purpose, i.e., to deliver personal items to a family member.

Mr. Lee, the use of a company vehicle is solely intended for business purposes. There are many complications that can arise from the misuse of our Company vehicles, such as the internal revenue service has strict rules governing them. In addition, in the event of an accident our insurance may question whether they are responsible for it. Finally, the additional wear and tear on the vehicle increases our overall company expenses and therefore has a negative impact on everyone.

Going forward should you violate this policy or any policy or work rule you will be subject to additional disciplinary action up to and including possible dismissal.

Because the Company conducts business outside the facility grounds it has made available company vehicles for the sole purpose of conducting that business for licensed drivers with a good driving record. At no time will these vehicles be used for personal reasons and this will not be tolerated. Personal use can be defined as simply making an additional stop, to driving several miles out of your destination point.

When using a company vehicle the driver will be responsible for logging the beginning mileage and time, any stops along with mileage and time, finally the return mileage and time. Any deviations to this can be considered falsifying a company document and result in immediate termination.

While using any company vehicle it will be the responsibility of the occupants to insure it is used in a safe manner always complying with motor vehicle laws, i.e., maintaining a safe speed, adhering to traffic signs and lights, etc.

While using any company vehicle it will be the responsibility of the occupants to insure that it is maintained in a safe operating condition. This means that if an indicator light is displayed it will receive immediate attention. In the event if the occupants have determined that something is not operating correctly they will contact the Company official responsible for giving the proper instructions on how to minimize or correct the issue.

The following activities are prohibited while operating a company vehicle;

The use of any cell phones or other electronic devices while driving

Eating while driving

No use of any tobacco products within the vehicle by anyone.

Horseplay of any kind.

Anyone that is authorized to operate a company vehicle will be subject to having their driving record reviewed at least annually and more often if necessary.

A company vehicle, like any motor vehicle can be very dangerous and safety will be the number one priority of this Company.

An employee written warning letter can only be 100% effective if you have an employee policy manual in place that confirms the poor behavior! Behavior, such as, tardiness, insubordination, poor attendance, misuse of company property, fighting, drinking or intoxication, etc!

However, if you don't it still is an effective way to document poor behavior! Just not as good!
