Warning Letter for Smoking in an Unauthorized Area



June 12, 2010



Dear Mr. Alan S. Harbaugh:

This is a written warning being issued to you for smoking in an authorized area, which is outlined in the Company employee policy manual.

Specifically on June 10, 2010, at approximately 11:10 am you were observed smoking inside the facility, room 210 which is an area not authorized. You did sign acknowledging that you had read, understood and received a copy of the employee policy manual on February 15, 2010, which addresses the company's designated smoking areas. The employee handbook also outlines the possible consequences of violating this policy.

Mr. Harbaugh, it is important to understand that while you are on company property that you only smoke in the company's designated smoking areas on a scheduled break. Currently the only designated smoking area is located outside behind the warehouse in our smoking shelter. This area has been partitioned off with orange cones. Smoking, as well as second hand smoke is considered to be harmful/hazardous.

Please also understand that any future violations of company policy, for any reason, may result in progressive discipline, up to and including possible termination.

This Company fully understands and recognizes the value of providing quality service and a safe work environment to their customers, employees and visitors. To ensure that we adhered to this standard the Company prohibits the use of any tobacco products inside any portion of the facility. Tobacco use areas will be clearly designated outside in an area where normal foot traffic will not be affected. Smoking and second hand smoke has been proven to be harmful/hazardous to an individual’s health; therefore, we take any violations of this policy very serious.

An employee written warning letter can only be 100% effective if you have an employee policy manual in place that confirms the poor behavior! Behavior, such as, tardiness, insubordination, poor attendance, misuse of company property, fighting, drinking or intoxication, etc!

However, if you don't it still is an effective way to document poor behavior! Just not as good!

So why is an employee policy manual so important?

It completely reinforces that you as a business owner have informed your employee of what the rules of behavior are and what the consequences are if they violate them! This puts you on solid ground if you must end up in court!

I must say that there are several software companies that make very straight forward and easy to follow policy manual software that practically will write the policy manual for you!
